Your Team Responsibilities

The Travel Desk Associate is part of the Global Travel Services Department. This person will support the Global Travel Services Team and all day-to-day travel related operations of the EMEA Region including but not limited to travel arrangement, expense submission, crisis management, corporate cards, long stays/relocations, internal events and vendor management.

Your Key Responsibilities

  • Global travel arrangements and expense report preparation for employees in the EMEA region.
  • Provide guidance related to MSCI-preferred vendors, visa processes, and other travel-related topics.
  • Ensure all travel arrangements adhere to MSCI Expense Policy.
  • Recommend convenient hotels and routing options to travelers.
  • Travel Events Support: Handling room block reservations for large-scale corporate events; team offsites, and industry/client events.
  • Deliver continuous education to employees regarding sustainable travel practices, such as reducing carbon footprints and selecting eco-friendly travel options.
  • Address travel inquiries for employees, administrative assistants, and office managers.
  • Provide training to travelers and administrative assistants on MSCI Expense Policy, Travel & Expense Process, Amex cards, and Mobile Applications.
  • Manage the American Express Corporate Card program for EMEA, including administration, reconciliation, and dispute case resolution.
  • Communicate travel news, warnings, world situations and provide Crisis Management support for travelers and local staff – if needed available to support over the weekend and public holidays as well.
  • Interact with MSCI preferred travel agency.
  • Help to negotiate hotel agreements for Internal Events and Long-Term Stays.
  • Identify opportunities for implementing new vendors, improving travel management processes, and stay informed about industry trends.
  • Leverage AI tools to enhance efficiency and shares further AI best practices with our Global Travel Team.
  • Support global ad hoc projects and provide backup support to the EMEA Travel Desk Team Leader as needed.

Your skills and experience that will help you excel

  • Bachelor's degree, preferably in Hospitality / Travel field.
  • A couple of years' experience in the travel industry, hospitality industry or in a similar corporate function.
  • Work experience with a multinational organization is an advantage.
  • Experience booking travel reservations and submitting expense reports.
  • Excellent team player.
  • Excellent English communication skills, both written and verbal.
  • Excellent communication and organization skills, reliable, service-oriented, innovative, self-starter.
  • Ability to work in a highly pressurized environment and to prioritize workload accordingly.
  • Positive, results-focused attitude with strong work ethics; able to work with minimum supervision.
  • Professional and proactive; flexible working out of business hours during crisis or emergencies.
  • Ability to provide efficient and reliable assistance, whilst maintaining attention to detail.
