Your Team Responsibilities

  • As member of a global team, the position is responsible for all day-to-day operational activities within an office of 130+ staff
  • Coordination of office administrative matters including reception duties, visitors’ assistance
  • Maintain daily upkeep of the environment and oversee necessary maintenance and repairs
  • Mobile phone allocation
  • Create reports in Engage, monitor desk usage, assist employees with Engage training
  • In collaboration with WPT and other teams, managing package sending/receival via courier to/from various MSCI locations including customs clearance process
  • Liaison with building landlord for announcements/notices/outages
  • Accountable for all Health and Safety responsibilities, Fire Marshal and First Aider responsibilities
  • Process, verification and review of all vendor invoices in accordance with the company expense policy and/or with the internal policies and procedures
  • Events organization
  • Ownership of all Security related aspects, including Access Control and employee access passes
  • Form a significant part of the local BCP Management and Crisis Management Team
  • Other ad hoc projects and duties as advised by reporting manager

Your Key Responsibilities

  • Reception cover, visitor assistance, badge administration
  • Oversee cleaning, repairs, maintenane of server room infrastructure in the office
  • Coordination of external and internal non client events, including sourcing and booking venues, preparation and distribution of documentation and invitations, through to completion of event
  • Participate in Business Continuity testing as part of MSCI's global standards
  • Register all the planned or unplanned facility maintenances in FAMIS
  • Manage Engage, MSCI's desk booking system: pulling reports, educate staff
  • Invoice scanning and approvals in SAP
  • Sharepoint Site maintenance
  • Coordinate Fire Marshal and First Aider trainings, recruit volunteers from staff
  • Managing employees’ corporate phone distribution, coordination with mobile service provider, phone order
  • Manage new hire orientation - introduction of Facilties and tools
  • Active participation in the upcoming office refurbishment project

Your skills and experience that will help you excel

Client centric mindset, able to independently work

Minimum 5 years of experience in administrative roles

College degree

Professional communications skills: English intermediate level, verbal and written

It is an advantage to have a work history in hotel/hospitality industry: reception or back office or customer service
